Razuna — Technical Questions & Answers
1. Security, Privacy & Compliance
1.1 Can Razuna guarantee GDPR-compliant data residency on EU servers?
Yes. Razuna is fully GDPR-compliant and offers a choice between US or EU data centers. Customers who opt for a dedicated cloud server (Enterprise plan) can select a data center location in the EU, ensuring full data residency within Europe. The shared SaaS edition also provides EU hosting options. Razuna maintains a comprehensive Data Processing Agreement (DPA) that is automatically accepted when signing up, so no separate DPA signature is needed.

1.2 How is data encrypted at rest and in transit?
All connections to Razuna are encrypted over SSL/TLS (the same standard used by financial institutions). For HIPAA-compliant hosting — and available on Enterprise and dedicated cloud servers — data is encrypted at rest as well using industry-standard encryption (Triple DES or AES). Passwords and sensitive credentials (SMTP, IMAP, etc.) are hashed and encrypted so that not even the Razuna team can read them.

1.3 Does Razuna use customer data to train shared AI models, or is the data siloed?
Customer data is never used to train models. Razuna's AI transparency commitment explicitly states: "Your data is never used to train models." AI processing happens in the customer's region, and all data is siloed per account. The infrastructure is SOC 2 Type II compliant and HIPAA compliant.

1.4 Can AI tagging be disabled globally, per workspace, or per asset?
Yes. Razuna explicitly states that "All AI features can be disabled per-workspace." This allows administrators to control AI processing granularly — for example, disabling AI tagging on workspaces containing sensitive or restricted assets while keeping it active elsewhere.

1.5 What audit logs exist for access, downloads, edits, and failed logins?
Razuna includes a comprehensive Audit Trail feature: every action within Razuna is logged (available on all plans). This covers:
- User activity — who accessed which files, when, and from where
- Downloads tracking — who downloaded files, when, and how frequently
- Usage analytics — file views, shares, and detailed reporting
- Full audit log of every AI action

1.6 Can sensitive-region content be restricted from sharing?
Yes. Razuna provides granular sharing controls at the workspace, folder, and asset level. Shareable links can be password-protected, given expiration dates, and restricted by permissions. Combined with workspace-level security policies, administrators can effectively prevent sharing of content from sensitive regions.
Source: razuna.com/features
1.7 Can access be restricted automatically by country of login (geofencing)?
Razuna does not currently advertise a built-in geofencing feature on its public documentation. However, as an Enterprise customer with a dedicated infrastructure, network-level restrictions (e.g., Cloudflare geo-blocking rules or firewall-level IP restrictions) can be configured. We recommend discussing specific geofencing requirements during a demo.
1.8 What is the uptime of the service, and are uptime dashboards available?
Razuna provides a public system status page at status.razuna.com. For dedicated cloud servers (Enterprise plan), Razuna offers a 99.9% uptime guarantee with dedicated monitoring included.
Sources: razuna.com/cloud-dam-server · status.razuna.com

2. Authentication, SSO & User Lifecycle
2.1 How does Razuna integrate with Microsoft Entra ID (Azure AD) via SAML?
Razuna supports SAML and oAuth for secure authentication and authorization (available on Unlimited plan and above). This allows integration with any SAML 2.0-compatible identity provider, including Microsoft Entra ID (Azure AD). Users authenticate via their organization's IdP, and Razuna processes the SAML assertion to grant access.
Source: razuna.com/features · razuna.com/pricing
2.2 Does Razuna support automatic user provisioning based on external identity provider groups?
Razuna supports SSO/SAML integration with identity providers. When users authenticate for the first time via SAML, accounts can be auto-created (Just-In-Time provisioning). For group-based provisioning specifics tied to Entra ID groups, we recommend discussing details with your Razuna account manager during onboarding.
2.3 What limitations exist in Razuna's automatic provisioning model?
Razuna supports Just-In-Time (JIT) provisioning via SAML. Detailed provisioning capabilities — including group mapping, role assignment, and attribute mapping — should be discussed with the Razuna team to ensure they align with your identity architecture.
2.4 How does Razuna handle obsolete or deactivated accounts in the identity provider?
When SSO/SAML is configured and a user is deactivated in the identity provider (e.g., Azure AD), they can no longer authenticate to Razuna. Administrators can also manually disable/block individual user accounts within Razuna's advanced user management panel.
Source: razuna.com/features
2.5 Is there automatic deprovisioning when a user leaves or is disabled in Azure AD?
When SSO is enforced, deactivating a user in Azure AD effectively blocks their access immediately since authentication must go through the IdP. For formal account removal or cleanup within Razuna, administrator action or API-based automation can be used.
2.6 Is it possible to manually disable/block individual Razuna user accounts?
Yes. Razuna includes advanced user management features allowing administrators to manage user roles, permissions, and account status. Individual accounts can be disabled or blocked by administrators.
Source: razuna.com/features
2.7 Is there automated cleanup/purging of inactive user accounts?
Automated purging of inactive accounts is not available. However, administrators have full control over user management and can identify and remove inactive users. The Razuna API can also be used to automate user lifecycle management.
2.8 Is there a reporting feature to find all inactive or unused user accounts?
Razuna includes User activity tracking and Usage analytics (available on all plans), which allow administrators to see who is accessing files, when, and what actions are being taken. This data can be used to identify inactive users.
Source: razuna.com/features
2.9 What happens when a user's email domain changes (e.g., [email protected] → [email protected])?
Email address changes can be managed by administrators within Razuna's user management panel. When SSO/SAML is in use, the identity matching typically relies on the NameID in the SAML assertion — if the email attribute changes in Azure AD, the SAML configuration should be reviewed to ensure identity continuity.
2.10 How does Razuna match identities when email addresses change?
Razuna's identity matching during SSO depends on the SAML NameID or oAuth provider mapping. If the underlying identifier remains consistent (e.g., a persistent NameID rather than email), login continues seamlessly. For email-based NameIDs, the administrator may need to update the user's email in Razuna or reconfigure the IdP mapping.
2.11 Does password login remain available for SSO users?
Yes, Razuna supports multiple authentication methods simultaneously: password login, SSO/SAML, oAuth, Magic Link, Passkey, 2-factor authentication, and Yubikey. The availability of each method can be configured by account administrators.
Source: razuna.com/pricing
2.12 If password login exists, can password authentication be disabled for all SSO users?
Yes, administrators can enforce SSO-only authentication. When SAML/SSO is configured, password login can be restricted to ensure all users authenticate exclusively through the identity provider. Specific configuration details can be discussed during onboarding.
2.13 Can passwordless authentication be enforced?
Yes. Razuna supports Passkey authentication and Magic Link login (available on all plans), both of which are passwordless methods. Passkey verification was introduced in February 2026. Combined with SSO enforcement, fully passwordless authentication is achievable.
